The Ultimate Toolkit for Online English Teachers (2025 Edition)

Let’s be honest: teaching English online is about way more than just showing up on Zoom.

Whether you're freelancing on an online marketplace, working with your own students, or running a full-blown online teaching business, the right tools can save you hours each week, increase your income, and make you look more professional.

I've tested dozens of tools over the years—some useful, some overpriced, and some just plain confusing. This is the 2025 tech stack I actually use to run my teaching business efficiently and professionally.

Let’s break it down.

🛠 Must-Have Tools for Online Teachers (Tested + Trusted)

1. 🎥 Zoom / Google Meet – For Live Lessons

You know these tools, but here’s the pro tip:
Use features like screen sharing, breakout rooms, and whiteboards to make your lessons interactive. Zoom’s stability is hard to beat, but Google Meet wins for simplicity and integration with Google Calendar.

2. 📅 Calendly / TidyCal – For Scheduling Lessons

No more email back-and-forth. These tools let students book their own times, based on your availability.
Set custom availability, time buffers, and automatic reminders. Calendly is the gold standard, but TidyCal is a great budget alternative.

💡 Save time. Look professional. Stay in control of your calendar.

3. 🎨 Canva – For Lesson Visuals + Branding

Whether you’re designing lesson slides, Instagram posts, or your website banner, Canva makes it easy—even if you’re not a designer.
Use pre-made templates, drag-and-drop graphics, and your brand colors to create materials that pop.

✏️ Yes, your slides can be beautiful and useful.

4. 💸 Payoneer / Wise – For International Payments

If you teach students from different countries, you need a reliable way to get paid without losing tons on currency fees.
Both Payoneer and Wise offer multi-currency accounts, low fees, and fast transfer times.

💵 Pro tip: Wise is especially good for sending invoices and getting paid directly into your bank account.

5. 📝 Notion / Google Docs – For Lesson Planning + Student Notes

Need to organize lesson plans, track student progress, and store class notes?
Notion is a teacher’s dream for organizing everything in one place—like a digital brain.
Prefer simplicity? Google Docs still does the job and is easily shareable with students.

📚 Bonus: Use Notion to build a library of lesson materials you can reuse and sell later.

6. 📹 Loom – For Feedback and Asynchronous Lessons

Use Loom to record video feedback, pronunciation reviews, or pre-recorded lessons.
Students love the personal touch—and you can save time by responding asynchronously.

🎧 It’s like being in class… without needing to be live.

7. ✅ Trello / ClickUp – For Project + Task Management

Running a teaching business means juggling marketing, admin, content creation, and client lessons.
Trello is perfect for visual learners who like boards and checklists.
ClickUp offers more depth (great for solopreneurs managing a lot).

🧠 System = Sanity. Stop trying to keep it all in your head.

8. 🚀 Systeme.io – My Go-To for Funnels, Email, and Digital Sales

This all-in-one platform powers everything I sell—from ebooks to landing pages to email funnels.

You don’t need 5 different subscriptions. Systeme.io gives you everything in one place:
